General Studio Policies

 

Bookings

  • Advance payment is required in order to book all group classes and private sessions. 

Cancellations/Late Cancels

  • We have a 12-hour cancellation policy for all group classes and private sessions. A cancellation within the 12-hour period results in loss of the class/session credit. We are not able to make any exceptions to our late cancel policy. Please do not ask.

Cancel online, text or email  only

  • All class cancellations must be made online via your Nova Pilates account, email @ thenovapilates.com or text  via ‪(571) 498-7426‬. This includes all late cancellations. You must send your cancellation requests by 6pm day prior for morning classes or you will lose your session/spot.

 

No-Shows (missed class without submitting online cancellation)

  • Any no-shows to a class or private session will result in full charge for the class/session.
  • Any no-shows to a class or private session will incur a $25 fee automatically charged 12-hours after class time. This is in addition to forfeiting the initial class/private payment. 

Waitlists

  • If you are on a waitlist and a spot opens, you will be notified via email. The waitlist closes two hours prior to class, in which you will no longer be automatically enrolled if a spot opens. If a spot opens under 2-hours before class, we will contact you via text message, in order of place on the waitlist, to see if you would like to take the spot.
  • If you are on a waitlist and are no longer able to make class if you receive a spot, please remove yourself from the waitlist as you will still be charged for any corresponding late-cancels or no-shows. ​​

Punctuality to class

  • Please arrive on time and ready for class. This ensures you are properly warmed up for class and aids in keeping the integrity of class flow. Any arrivals past 5 minutes from the start of class time may be asked to leave.

Teens/age requirement

  • Clients aged 15 and up are welcome to join group classes. Ages 12-14 are welcome to join in either a private or semi-private session. We do not take clients aged 11 and under unless it's a special event .

Pregnancy

  • Established clients may continue in group classes with permission, but are encouraged to transition to Private Sessions in the 2nd Trimester. 
  • New clients starting at the studio during pregnancy are required to book into Private Sessions. 

Inclement Weather

  • Late cancellations due to inclement weather events (to incl. ice, snow, flooding, or tornado warning/watch) will be excused within the first 24 hours following the weather event. If you deem the road conditions to be unsafe, we urge you not to attempt to drive to make a class or session. Please call, text or email the studio if you will not be able to make it to class.
  • Any class cancellations due to weather events will be reflected in the online scheduler, and in addition, we will contact you to notify you if your class is cancelled.
  • We must hear from you if you are unable to make it to class due to weather events. Any online late-cancellations & no-shows will be charged per our normal policy. Weather-related cancellation exceptions will only be granted for appointments scheduled within 24 hours of the weather event.

Membership/Packages Policies

 

Monthly Auto-Renew

  • By purchasing a group class membership, you are agreeing to being billed on your purchase date, and every 1 month thereafter, until cancellation of your membership.

Membership cancellation

  • To cancel, we require 30 days’ notice prior to your next billing date. This must be provided in writing to thenovapilates@gmail.com

Membership pauses

  • We offer  membership pauses for members who are dealing with a qualifying medical condition. Pauses are granted in cases of injury, surgery, or pregnancy and have a maximum duration of six months. For all other circumstances, such as vacations, travel, or other personal commitments, we encourage to do packages instead.  You can easily increase or decrease your membership to accommodate your schedule and ensure you're only paying for the services you're actively using.

Rollover Policy

  • All class credits included in your monthly membership MUST be used within that month; class credits do NOT roll-over between months.


Packages Policy

  •  4 pack must be used in 30 days. 8 pack must be used in 60 days.  16 pack must be used with 90 days or it will expire.


No Refunds

  • All sales are final. You will not be entitled to any refunds, partial refunds or credits for cancellations for termination prior to the end of your monthly billing cycle, or for unused memberships and classes.

Member Drop-in classes

  • If you reach your limit of monthly classes and would like to attend class before the next month, our system will automatically offer you single classes at a special member drop-in rate. The special member rate does not apply to guests added by the member.

Class/Private Session Package Policies

One time purchase

  • All single purchases or packages of group classes and private sessions are a one-time purchase and will not auto-renew.

​Private Session Bookings

  • All private session, semi-private and Private Group class bookings must be paid for prior to booking with either a single credit payment or package purchase. 

Expiration dates

  • All purchases of single classes/private sessions, and packages of each, have expiration dates. Expiration dates are not able to be extended.

No refunds

  • Refunds are not available for unused classes or private sessions. All sales are final and non-refundable.
